# Airtable schema

Version: 1.0.1

This is the public V1 field structure behind Capture First.

## Fields

| Field | Airtable type | What it does |
|---|---|---|
| `Raw Thought` | Long text, primary | Keeps the original transcription or manually entered account. Treat it as immutable source material. |
| `Captured At` | Formula based on record creation time | Adds the capture time automatically. |
| `Core Idea` | Long text | Holds a later one-sentence summary when you choose to add one. |
| `Type` | Single select | Holds one structural thought type after capture. |
| `Processing Status` | Single select | Starts at `New` and can later move to `Processed` or `Error`. |
| `Attachments` | Attachment | Holds optional screenshots, photos, or documents for manual records. |

The Shortcut writes only `Raw Thought` and `Processing Status`.

## Type choices

Use these six choices:

- `Idea`
- `Observation`
- `Story / Memory`
- `Question`
- `Task / Action`
- `Other`

These describe what kind of thought it is. Subject areas such as business, health, writing, or family belong in a separate field only if real use shows you need one.

## Processing Status choices

- `New`: captured and waiting for any optional downstream work.
- `Processed`: later work finished successfully.
- `Error`: later processing failed and needs attention.

The capture path should create a useful `New` record even if you never build enrichment.

## Captured At formula

Paul's V1 formats Airtable's record creation time in the `America/New_York` time zone:

```text
DATETIME_FORMAT(
  SET_TIMEZONE(CREATED_TIME(), 'America/New_York'),
  'YYYY-MM-DD HH:mm:ss'
)
```

Change the time zone if you need a different local display. Keep Airtable's real creation time as the source.

## Raw Thought rule

Never overwrite `Raw Thought` with a cleaned version.

If you add AI later, write the summary to `Core Idea`, choose one approved `Type`, and update `Processing Status`. A bad summary or classification can be fixed. The original thought should still be there.

## Manual records and attachments

For a manually entered memory:

1. Write enough in `Raw Thought` to explain what the record means.
2. Set `Processing Status` to `New`.
3. Add source files to `Attachments` when they matter.
4. Read the record back and confirm each file finished uploading.

An attachment without an explanation becomes hard to use later. Keep the context in `Raw Thought`.

## Fields intentionally left out

Capture First V1 doesn't require projects, tags, scores, sentiment, action flags, embeddings, audio files, or automatic content fields. Add a field after real use proves it belongs in the system.
